Job Descriptions for Officers...

Elections for the new 4H year are coming up in October.  We have quite a few positions for you to consider.  Look at the descriptions and see what you may be interested in running for.  Also, read through what is expected of your officers to better help you choose who to vote for...  I will also try to clear up some of the confusion that a few of you have mentioned so you understand the positions better...

President...The president of the club is expected to attend every business meeting.  They do not have to attend every project area meetings...at those meetings the pres. is just a normal member.  It is the business meeting that the president presides over.  You will run the formal business meeting using the Robert's Rules of Order, allowing people to speak and listen in an orderly manner.  You will assist the group in organizing committees and small groups so that all members gain involvement in activities during the year.  Should the president be unable to attend a business meeting, he/she will inform the VP and one of the adult leaders so that the meeting can proceed.  www.robertsrules.org   Ashley

Vice President...The VP is expected to attend every business meeting.  The VP will assist the President in performing his/her duties.  In the event that the President is not able to be present at a business meeting, the VP will take over the duties of the President and be familiar with Robert's Rules of Order.  In the event that the President resigns from his/her position, or leaves the club, the VP will assume the role of president. Melissa

Secretary...The secretary is expected to attend every business meeting.  He/she will keep a record of member attendance at business meetings, and be able to inform each member of their meeting attendance at the end of the season.  The secretary will keep an accurate record of the minutes of the business meeting and will read those minutes at the following business meeting.  The secretary will keep safe the secretary book for the club and be sure it is turned into the club leader at the conclusion of the 4H year.  If the secretary is unable to attend the business meeting, he/she is to make sure to deliver the secretary book to one of the adult leaders prior to the business meeting. Treasurer...The treasurer of the club is expected to attend every business meeting.  He/she will keep an accurate record of all  club expenses and income and work with the adult leader to keep the club bank account balanced.  Records will be kept in the treasurers book and the monthly income/expenses and account balance will be offered to the club members at each month's business meeting.  Should the treasurer be unable to attend a meeting, he/she shall deliver these records to one of the adult leaders prior to the meeting.  The treasurer is to keep these records safe and turn them into the adult leader at the conclusion of the 4H year. Reporter...The reporter of the club is expected to attend every business meeting.  The reporter is to keep record of all correspondence the club receives or sends out.  The reporter shall write any necessary thank you notes, news bullitens and newsletter information to those involved with club activities.  The reporter shall at various times of the year sumit short write ups of special club activities to be submitted to area newspapers or on our website to be shared with the public. Historian...The historian is expected to attend every business meeting.  The historian will gather information and pictures of the activities of our club activities, meetings, community service, and fair results as well as the noteworthy activities of individual club members.  The historian shall either take pictures, or gather pictures from those who did take pictures of various club events.  The historian shall record these activities in the club scrapbook, to then be entered in the 4H fair. Librarian...The librarian is expected to attend every business meeting.  The librarian will keep and bring to all business meetings, the box of books and magazines that are available for members to borrow monthly.  The librarian will keep track of who has borrowed and/or returned which items, and to notify members when new publications are available or to share with the club reviews by other members of books they have used. What is a Junior Leader?

Our club has the opportunity for some members to serve as appointed junior leaders for various project areas.  Those wishing the opportunity can mention this to the adult leaders, and the leaders will discuss appointments to these posts.  A junior leader is expected to...

1.  Attend all meetings of that project area as well as all business meetings.

2.  To assist the adult leader as needed in preparing and fascilitating the meetings.

3.  To occasionally research a subject and present a short discussion on it at a meeting.

4.  To help younger/newer members with showmanship and learning in that project area, either during or outside of the meetings.

5.  The junior leader is not the "boss" of the kids in the club or project area...they are the "helper" to the adult leader.
